Role (Job details, purpose, responsibility etc)
The Administration Assistant will report primarily to the Marketing Administration department, however they will provide support for the Marketing Development and Group IT Department on a regular basis.
General Duties
Receiving telephone calls, assisting the caller with queries and routing messages as required
Departmental internal and outgoing post service
Providing departmental reprographics service. Binding documents to be distributed at board level
Typing of routine correspondence as required
Maintenance of manual and computerised filing systems
Collating corporate marketing literature to be sent out to external contacts through the web enquiry system
Assisting with the distribution of internal communications such as pay slip flyers and any internal marketing campaigns
Ordering and maintaining of stationery stocks. This may also encompass assisting with the ordering of stationery for offices throughout the UK
Producing packs of corporate branded goods for corporate golf events. Assisting with the organisation of display materials for exhibitions throughout the group
General office housekeeping, maintaining meeting room area and ordering of supplies for drinks machine
Document maintenance to sections of the corporate intranet
Maintaining photographic records and managing the photograph database
Assisting with distribution of press monitoring
Key Competencies
Skills:
Good knowledge of Microsoft Office applications and a good telephone manner is desirable.
Qualifications:
Good GCSE grades. GNVQ / NVQ or A-level qualifications desirable.
Personal Qualities:
The ability to work as a member of a busy team, sometimes under pressure, is essential. Applicants should have a “can do” attitude and pleasant manner.
Experience:
Experience of working in an office environment is desirable.
