Role (Job details, purpose, responsibility etc)
The role is to primarily provide first rate admin support to the Director of Engineering’s PA. Secretarial support will also be needed, as and when required (To cover sick and annual leave). The candidate will therefore require a certain amount of flexibility.
Duties will include:
• Daily Management of OJEC Notices - these are the emails that come in from the European Information System, which are then opened up, stored in Outlook and printed of for the Director to mark up and advise as to their distribution.
• Occasional Secretarial Support to the PA – involving typing up of correspondence, answering the phone, management of incoming and outgoing correspondence and general office duties.
Key Competencies
Skills:
• Excellent knowledge of Outlook
• Typing skills (45 wpm)
• Excellent organizational and time management skills are essential
• Typing and formatting skills in Word
• Excellent telephone manner
• Flexibility and the ability to work under pressure
Personal Qualities:
The ideal candidate will have a polite and professional manner and will be able to work in a small team of 3.
Experience:
• Previous secretarial experience essential (At least 1 year)
• Previous experience of dealing with tender documents would be an advantage – but not essential
