Reports to:Tailored Business Admin Team Leader Purpose of role: The Client/Programme Co-ordinators overall purpose is to develop strong professional relationships with clients and provide a first-class administrative service to clients, participants and faculty in order to ensure that programmes are run successfully and enhance our reputation as one of the worlds leading business schools for customised executive education. Duties: The Client/Programme Co-ordinator has to both initiate and respond to the varying, complex and changing demands of the client and programme, on their own initiative and under demanding time pressures.This means that the variety of duties undertaken by Client/Programme Co-ordinators varies enormously, and any job description can only illustrate the range of tasks and responsibilities that might be involved in the course of carrying out the role. The main duties fall into four main categories: a)Client relationship management ·Creating and developing a close professional relationship with the client ·Attending planning and review meetings with clients ·Liaising with senior executives from the client company who have agreed to act as speakers on the programme ·Maintaining confidentiality by ensuring sensitive material used on tailored sessions is kept secure b)Programme administration ·Liaising with the Operations Department to book teaching and syndicate rooms and Media and IT Department to book equipment ·Recording course participant details on the in-house database ·Organising private dinners, working lunches and other catering requirements ·Planning and arranging outdoor learning activities ·Preparing all programme materials e.g. joining instructions, case studies, timetables and handouts ·Collating programme review forms and issuing them to the client and Client Director ·Developing and maintaining content for programme extranet sites e.g. assignment briefs and bio notes ·Preparing programme timetables Presenting a brief introduction to the group at the start of the programme regarding health and safety and amenities details. c) Secretarial support ·Booking flights, arranging visas, transport and accommodation for tutors for off-site programmes d)Finance ·Maintaining accurate records for all expenses relating to a programme ·Ensuring programme related decisions do not compromise budget limitations ·Liaising with the Finance Department regarding invoice preparation Person Specification Essential ·3/4 years administration experience ·Good IT skills (Word, Powerpoint, Excel, email and databases) ·Excellent interpersonal and communication skills, in order to develop good relationships with clients at a very senior level ·The ability to make decisions and take the initiative when faced with problems ·Capacity to multi-task whilst under pressure, in order to cope with competing demands and urgent deadlines ·Team player ·Maturity and sensitivity to deal with clients from many different cultures ·Maths and English GCSE or equivalent Good accuracy and attention to detail Desirable ·ECDL ·Educated to A level standard.For a more mature person, however, prior experience would be taken into consideration ·RSA III standard keyboard skills
