Office Administrator / Bookkeeper


Open postal Items and deal with them accordingly
- Processing and packing small orders from NHS Trusts and Private Hospitals
- Entering remittances
- Raising purchase orders
- General data entry
- Arranging courier collections
- Monitoring goods on back order and delivery dates
- Answering incoming calls, dealing with product prices, orders queries, invoicing, purchases
- Dealing with company emails and faxes.
- Bookkeeping – (recording all data on MYOB) invoicing, collections, payments, expenses and VAT
- To provide all round administrative support & ensure smooth running of the office
Weekly
- Monitoring goods on back order and delivery dates
- Checking in Deliveries, labelling and putting into stock.
- Entering UK and Overseas purchase invoices.
- Reconciliating bank statements
- Credit control. Following up on bad debtors, phoning & sending letters
- Entering and dealing with repairs/faulty consumables & equipment
Monthly
- Printing statements and posting.
- Ordering stationary
- Liaising with suppliers on product availability and pricing.
- Stock Control - A monthly audit on stock
- Preparing Invoices for payment & use internet banking for BACS or prepare cheques.
- Checking off statements from suppliers and agreeing before processing payment.
- Checking staff expenses and preparing payments
- VAT preparation, quarterly VAT return, to be audited and checked before sending to H M Revenue & Customs
- Foreign Exchange transactions, paying suppliers in various currencies, keeping track of exchange rates, using forward contracts to manage risk.
Yearly
- Organising business insurance and car insurance, ensuring all cars have RAC cover, organizing MOT’s and Tax for company vehicles. maintaining insurance policies & claims for company vehicles and company
- ISO documentation preparation – yearly audit make sure files are correct and up to date,
CE Marking – also will have an electronic audit, to acknowledge any changes.
- Complying with company policies & procedures in accordance to Health & Safety Act 1974, Fire Regulations and ISO 9001-2000
